Yacht Wedding Concierge in Abu Dhabi: What a Planner Handles for You

A yacht wedding concierge in Abu Dhabi is the single person, backed by the crew, who turns your date, guest list and taste into a working plan and then runs it on the water. In practice that means matching you to the right boat, writing the minute-by-minute run sheet, briefing your photographer, caterer and DJ on how a boat works, handling guests at the marina, and holding the whole thing together while you enjoy it. This article sets out exactly what is handled for you, what stays in your hands, and what we need from you to do it well.
What concierge means on a wedding yacht
On land, a wedding usually involves a venue manager, a decorator, a cake supplier, a coordinator and a security or door team, each with their own contact. On our boats those roles collapse into one team. The vessel, the captain and crew, the wedding decoration and the wedding cake all come from us and are included in the package price. That is why one WhatsApp thread can carry the entire wedding from the first enquiry to the moment the boat comes alongside at the end of the night. The concierge is the person on the other end of that thread.
The value is not only convenience. When the decorator and the crew are the same organisation, the floral arch is placed where the captain knows the deck stays steady, the aisle runner is secured the way the crew wants it, and the cake is stored where it will not be touched by heat or wake. Nothing has to be negotiated between suppliers who have never met.
Before the day: what comes off your list
- Boat matching. You give the guest count, the feel you want (yacht silhouette or wide house boat deck) and the date. We propose two or three boats that genuinely fit, not the biggest one available.
- The run sheet. Boarding time, departure, where the boat will be for the vows, when the cake is cut, when music can rise, when the return starts. Written down, shared with you, and used by the crew on the day.
- Decoration brief. Colours, flowers, arch style, aisle, table styling, lighting for an evening charter. See the range on the decoration page; it is included, so the brief is about taste.
- Cake brief. Tiers, flavours, finish and how the cutting moment is staged on deck. The custom cake is part of the package.
- Vendor windows. The exact times your photographer, caterer or musician can access the boat at the marina before guests board, and where they load.
- Guest instructions. A short note you can forward: marina name, meeting point, boarding time, footwear, what to bring.
- Weather watch. We look at conditions in the days before and confirm with you the day prior. The captain makes the final call on sea state.
Coordinating the vendors you bring
Most couples bring three outside suppliers: a photographer or videographer, a caterer, and a musician or DJ. Each of them works differently on a boat than in a ballroom, and the concierge bridges that gap so you do not have to explain it.
Photographer and videographer. We tell them the boarding time, which deck the ceremony will use, the direction the boat will face at the vows, and the landmark sequence on the route so they can plan the skyline, Emirates Palace and sunset frames. If they hope to fly a drone, we explain what is realistic; drone flying in the UAE is regulated and the answer depends on the day and the area, so nobody should promise a drone shot until it is confirmed.
Caterer. We confirm what galley space and power exist on your chosen boat, how food will be kept cold on the way from the marina, and where service tables can stand without blocking the crew's working areas. Menus that hold well in warm air are a separate conversation, and we are happy to have it.
DJ or musician. Speaker placement, power supply, and the hours during which music can be at full volume. Music hours on the water are the captain's decision on the day, and we brief the DJ so there are no surprises.
On the day: who does what
- Ninety minutes before boarding: decoration team on board finishing the arch, aisle and tables. Cake delivered and stored. Vendors load.
- Boarding: a crew member meets guests at the marina meeting point with the boarding list, helps older guests and children step across, and shows everyone to the seating plan.
- Departure: the captain gives a short safety word, the crew serves welcome drinks, the DJ plays at cruising volume.
- The ceremony spot: the captain slows or stops the boat at the backdrop you chose. The concierge cues the entrance, the officiant, and the photographer.
- Cake and portraits: the boat is held steady again for the cutting, then moves gently for portraits along the Corniche or past Saadiyat.
- Reception: meal service, speeches, dancing. The concierge watches the clock so the return is not rushed.
- Return: the crew brings the boat alongside, helps guests off, and hands back anything left on board, including the cake stand and any gifts.
Guest logistics you will not have to think about
Marinas are easy once you know them and confusing the first time. The concierge sends every guest the same meeting point and time, so nobody wanders the pontoons in evening wear. At the boat, the crew handles boarding with a hand for anyone who needs it, explains where the rail is off limits, and keeps children within the deck areas set aside for them. Guests who feel the heat are guided to the shaded or air-conditioned areas. If someone arrives late, we tell you honestly whether the boat can wait, and for how long, because the charter clock is the same for everyone.
Boats where a concierge-run wedding shines
- King House Boat, 30 guests. A shaded upper deck with bench seating on both sides and an open centre that takes an aisle and arch, plus a glass-walled saloon below. The layout makes a run sheet easy to execute.
- Miss Kim House Boat, 30 guests, three-hour minimum. A refined house boat with a proper indoor saloon for the meal and an open top deck for the ceremony. Best for evening weddings with a seated dinner.
- House Boat Luxury M1, 40 guests. The largest capacity in the fleet, chosen when both families are on board and the reception needs table seating for everyone.
What we need from you
- A final guest count including children, photographer and musicians.
- Your preferred date, plus one or two alternatives.
- The moment that matters most: skyline vows, sunset portraits, or a night-lit dinner. The whole route is built around it.
- Contact details for the vendors you are bringing, so we can brief them directly.
- A decision on the decoration colours and the cake, ideally four weeks before the date.
Frequently asked questions
Is there an extra charge for the concierge service?
Planning, the run sheet, vendor coordination and the crew on the day are part of how every wedding charter is delivered. The package price on the boat page includes the decoration and the cake; there is no separate planner fee to add on top.
Can the concierge book our photographer and caterer for us?
We can recommend suppliers who already know the boats and coordinate with them once you have booked them. The contract for those services is between you and the supplier.
How much contact will we have before the wedding?
As much as you want. Most couples exchange a handful of WhatsApp messages over the weeks before, then one call the week of the wedding to walk through the run sheet.
What if our plans change after we book?
Guest counts move, colours change, a musician drops out. Tell us as soon as you know and we adjust the run sheet. A large change in guest count may mean a different boat, and we will say so early.
Hand it over
Send us your date and guest count and we will reply with the boats that fit and a first draft of the day. Details are on the wedding yacht service page, or message the team on WhatsApp at +971 50 503 7702.
